 STUDIO POLICIES

1. Booking Your Session

  • To secure your place in our calendar, a $100 holding deposit (session fee) is required at the time of booking.

  • Your session includes up to six people. Extra family members are warmly welcome for $25 each, unless agreed otherwise.

  • Your $100 deposit is fully refundable if you choose not to purchase any images after your ordering appointment.

  • If you do decide to purchase, the $100 will be credited towards your order.

  • Gift cards and special promo offers are for complete family portrait sessions. To make the most of your experience, we ask that all parents (if applicable) and children attend the photography session.

  • Only one gift card or special promo offer may be used per family, per year. They are non-transferable and cannot be redeemed for cash.

 

2. Rescheduling & Cancellations

  • We understand that life happens! If you need to reschedule or cancel your photography session, please provide at least 5 days’ notice so we can make the space available for another family. 

  • If you are unable to provide 5 days’ notice for your reschedule or cancellation request then your holding deposit (session fee) is no longer refundable.  

  • If the weather isn’t ideal, we may recommend postponing to ensure you have the best experience and light conditions possible.

  • Sessions rescheduled more than twice may be subject to cancellation, though we’ll always discuss options with you first.

  • If you do not attend your session without notice (“no-show”), the $100 holding deposit (session fee) will be forfeited and no longer refundable.

 

3. Your Session & Ordering Appointment

  • Following your photo session, we’ll invite you to a relaxed viewing & ordering appointment (usually within 2 weeks).
    This is when you’ll see your beautiful images and choose which ones you’d like to take home. We conduct these appointments via a 1 hour Zoom video call session. 

  • For voucher or promotional sessions, both parents (if applicable) must attend this appointment.

  • All orders are placed and paid for at the ordering appointment.

  • Payment plans are available for families who’d like to pay over time, with a small admin fee applied. The maximum duration for payment plans is 3 months. 

 

4. Image Storage & Archiving

  • All purchased images are safely stored for 12 months after your order.

  • Any unselected or unpurchased images are deleted 3 months after your ordering appointment to manage storage space.

  • Each year, all stored sessions are reviewed and non-purchased files are permanently deleted on 31 December.

 

5. Retouching & Artwork

  • Every image you purchase includes natural, professional retouching — gentle skin smoothing, flyaway hairs, colour balancing, and light corrections that keep everything looking authentic.

  • Custom or extensive retouching is available for $20 per image.

  • If you’ve purchased wall art or an album before printing, we’ll send proofs of your chosen images for approval.

  • If we don’t receive feedback after two friendly reminders, we’ll proceed with printing to avoid unnecessary delays.

 

6. Copyright & Image Use

  • Viver Photography retains copyright ownership of all images.

  • When you purchase digital files, you receive personal use rights — you may print and share your images freely with friends and family.

  • Images may not be sold, edited beyond basic cropping, or used commercially without written consent.

  • Copying, scanning, or reproducing images without permission is not permitted.

  • Occasionally, we may wish to share a few of your images on social media, or for marketing materials.
    If you’d prefer we don’t use your images this way, simply let us know — we completely respect your privacy.

 

7. Additional Information

  • Family photography sessions can be booked up to 6 weeks in advance.

  • Please arrive on time — we often have back-to-back sessions and may need to shorten or reschedule if there’s a delay.

  • Competitions, prizes, and promotions are valid only as described and can’t be exchanged for cash or credit.

  • Clients must be 21 years or older to redeem vouchers or session offers.
